A volunteer position is currently available for anyone who has the knowledge and skills to help maintain and coordinate our IT systems here at RiSE QLD. Your role will involve ensuring all basic systems including our website, email maintenance and internet capability are running smoothly. Your skills in this area are in high demand.

To support the administrative functions of RiSE QLD Advocacy and Support Network Inc.

Job title : Administration Officer Assistant
Reporting to: Administration coordinator
Salary: Volunteer
Hours: 15 hours per week
Location: Caboolture

Purpose of the position To support the administrative functions of RiSE QLD Advocacy and Support Network Inc.

Responsibilities & duties

Responsibility 1 – Reception

• Meet & greet all clients and visitors to the company
• Receive, direct and relay telephone messages
• Answer general inquiries
• Liaise with colleagues and external contacts
• Kitchen duties and maintaining a clean environment for staff
• Managing of incoming and outgoing post

Responsibility 2 – Administration for the office

• Maintain filing system
• Ordering of business cards for staff
• Ordering & maintaining office supplies & stationary
• Printing/photocopying/scanning & emails

Responsibility 3 – Administration support for Projects & Communications Team

• Distribution of quarterly publication
• Administration support for internal and external training events (e.g. registration, travel bookings, catering, liaising with trainers)
• Attend and take minutes of weekly team meeting

Responsibility 4 – Accounts Receivable/Payable

• Invoicing - for training events, agency secondary consultations for RiSE team & external training events
• Follow up on invoice payments & overdues
• Weekly banking of monies received
• Liaise with treasurer and accountants – Re: bank reconciliation, invoicing & management accounts on a weekly basis
• Manage petty cash

Academic & trades qualifications

Essential Desirable
Diploma or degree in Administration or equivalent experience
Current QLD Driver’s Licence
Certificate or diploma in accounting and/or bookkeeping

Work experience & skills

Essential Desirable
Minimum three years’ administration experience
Competence in using Windows computers
Competence in Microsoft Office applications
Experience in MYOB or Billings accounting packages
Experience in customer service and hosting

Personal qualities & behavioural traits

Excellent written and verbal communications skills
Ability to work outside of normal business hours, including travel
Attention to detail Ability to maintain work standards during peak times of activity
